In detail

What happens to your file, step by step

The five stages above are the shape of every job. This is what actually happens to your file inside them.

Profile the file first

Before anything is changed we profile every column: fill rate, the formats present (three date formats in one column is normal), and duplicate candidates found by fuzzy match on name, postcode and email rather than exact string equality. The profile comes back to you as a short report, so the scope is based on what is in the file, not what the export was supposed to contain.

Agree the rules in writing

Every transformation is written down before it runs: which record survives a merge, how addresses are cased, what counts as an invalid email, which fields must never be touched. You sign off the rule list. That document is the specification for the job and the reference if a result is ever questioned.

Run the rules with a diff

The rules run as a script against a copy of your file. The output is the cleaned file plus a before/after diff at row level, so you can open any changed record and see the old value, the new value, and the rule that changed it.

Rejects file

Rows the rules could not fix with confidence are not guessed at. They go into a separate rejects file with the reason (postcode not found, two plausible merge candidates, date ambiguous), so a person decides rather than an algorithm.

QA and delivery

We sample the cleaned file and check it against the agreed rules and against records you already know to be correct. The cleaned file, the diff, the rejects and a QA report are delivered together in the format your system imports, with GDPR-compliant handling throughout.

A script you keep

The rule set is delivered as a script. When the next export comes out of the CRM, the same rules run again without the setup work, so the second clean costs a fraction of the first and the results are consistent between runs.

Field dictionary

One line per column: name, type, format applied, and validation performed, so anyone importing the file knows what each field now holds.

QA report

Fill rates before and after, duplicates merged, addresses and emails validated, and the sample checks run with their results.

Repeatable script
