## How a Property Data Project Runs

1. **Scope the question and the sources.** We agree the areas (postcode districts or local authorities), sale or rental, and which portals to cover. Rightmove, Zoopla and OnTheMarket carry heavily overlapping stock, so the choice is usually about which fields you need rather than which portal. Land Registry price paid data and the EPC register are open data and cover sold prices and energy ratings for the same addresses. We fix the field list and the refresh frequency at this stage.
2. **Free sample extract.** A few hundred rows from your agreed area, in your chosen format, so you can check the fields, the address formatting and how prices and reductions are recorded before you commit to anything.
3. **Build.** Each portal paginates and de-duplicates listings differently, and the same property often appears under several agents with different photos, descriptions and asking prices. We build a collector per portal, then a matching step that groups listings by address, postcode and property attributes into one record per property, keeping each agent's listing underneath it. Land Registry and EPC records are joined on address and postcode. That join is imperfect where address formats differ (flats, converted houses, new builds without a postcode yet), so unmatched rows are flagged rather than guessed.
4. **QA against figures you already trust.** We compare our listing counts with the portal's own result count for each area, spot-check a sample of listings by hand, and reconcile the Land Registry and EPC joins against addresses you verify yourself. Anything that does not tie out is explained before delivery.
5. **Delivery.** The first full extract, plus the field dictionary and QA report described below.
6. **Ongoing operation.** For monitoring work the collectors run daily and track price changes, reductions, withdrawals and relistings from one day to the next. Portals change their page layout without notice. We watch field-level fill rates on every run, so a broken selector shows up as a drop in coverage instead of empty columns arriving silently. Every layout change and the fix for it goes in a change log you can read.
